IT Relocation: Process Costs & Tips

Process and price
An IT move in three phases – and what makes it expensive
Process, costs, tips
An IT move runs in three phases: beforehand, your IT team backs up the data, shuts down the systems and disconnects them. On moving day, computers, monitors, printers and servers are padded, packed, carried and transported. Afterwards, your IT team reconnects everything and checks that it works. We take care of the transport: we are based in Berlin (Stromstraße 21), bring padded blankets, trolleys and boxes, and agree the order with your IT team.
What drives the price is rarely the technology itself, but the effort around it: the number of workstations, heavy racks or UPS units, the floor and lift at both addresses, a time window in the evening or at the weekend, and the packing material. If the IT move is part of an office move, furniture and technology travel together. We are liable for your belongings under the German Commercial Code (HGB); data backup and getting systems running again remain the task of your IT team.

A fixed price for transporting your IT
After the survey, not before
After a free survey we give you a binding fixed price for packing, carrying and transporting your IT. To do this, we count workstations and heavy equipment, look at the stairwell and lift, and clarify the time window. That way you know in advance what the move will cost.
Quotes available individually based on workload, scheduling and the desired scope of services.

Who does what in an IT move?
Clear tasks, clear price
An IT move succeeds when the tasks are allocated in advance. Your IT department or IT service provider backs up the data, shuts down systems, removes servers from the rack and puts them back into operation at the destination. We take on the physical part: padding, packing, carrying, transport, and dismantling and assembling the office furniture. We are liable for your belongings under the HGB. We set the order together so that important workstations are up and running first.

Six cost drivers in an IT move
The costs of an IT move depend less on the value of the equipment than on the effort involved. These six factors go into our fixed price – if you know them, you can save in a targeted way.
Number of workstations
Heavy single items
Floor and lift

From
planning to assembly
It is rare for only the IT to move: desks, filing cabinets and meeting room furniture usually come along too. Our office move page describes how we relocate an entire business. If your company is moving to another city, you will find information under long-distance moves. If a private move is due at the same time, our private move service can help. Talk to us about which combination makes sense for your move.

Questions about process and costs
Three phases of an IT move
Before: your IT team draws up an inventory list of all devices, backs up the data and checks that the backup can be restored. Cables and devices are labelled so it is clear what belongs where. On the evening before the move, the IT team shuts down the systems and disconnects them.
Moving day: we pad computers and monitors, pack keyboards, mice and power supplies into labelled boxes and carry everything to the lorry – in the order set out in the plan. After: at the new location we place devices and furniture at the marked spots, and your IT team connects them and tests the systems. Only once that is done does normal operation begin.
Cutting costs: six tips
The costs of an IT move depend on the number of devices, the weight, floor and distance, and the desired time window. Savings can be made before the lorry arrives: retired computers and old cables do not belong in the move but in disposal. Keep the original boxes for monitors and printers, and reserve the lift at both addresses.
If possible, plan the move outside business hours so operations can continue – but ask whether a surcharge applies. Make a complete backup in good time and test the restore; statutory liability at most covers the value of damaged devices, not lost data.
