Practice relocation

Practice move: the questions practice owners ask first

Answered in brief

Unsere Firma is based in Berlin-Moabit (Stromstraße 21) and brings practice furniture, record containers and boxes into your new premises.

The most common question about a practice move is not about the lorry at all but about permission: if you relocate your seat as a doctor with statutory health insurance accreditation, you first submit an application to the admissions committee (Zulassungsausschuss). It only approves the relocation if reasons relating to statutory healthcare provision do not stand in the way. If you take X-rays, you must also notify the responsible authority of operation at the new location at least two weeks beforehand, with the inspection report of an officially appointed expert.

The remaining questions revolve around duration, costs, records and liability. In short: small practices often move over a weekend, patient records travel sealed and listed, and equipment is dismantled and connected by the manufacturer's service. The moving company is liable for your household goods under § 451e HGB at €620 per cubic metre. How long the practice has to close depends mainly on when the technology and approvals are ready. What we take care of for businesses is described on the Office move page.

Have your practice surveyed

Fixed price after a survey, date set by your closing days

Your question is not listed? Call us on 01625978461. After a survey of the practice, we quote a fixed price for furniture, records and boxes and suggest a date that fits your closing days. You coordinate appointments with equipment manufacturers and IT service providers in parallel; we align our process with them.

Quotes available individually based on workload, scheduling and the desired scope of services.

TRANSPORT AND ASSEMBLY

What we take care of in a practice move

And what stays with you

We are based in Berlin (Stromstraße 21) and, in a practice move, handle the dismantling, transport and assembly of reception, waiting room, cabinets and shelves, plus records in sealed containers and labelled boxes according to the room plan. The admissions committee's approval, the X-ray notification and the work on treatment units lie with you and with specialist companies. We are liable for your household goods under § 451e HGB at €620 per cubic metre; for expensive equipment, additional insurance is worthwhile.

Furniture by room plan

We dismantle the reception desk, waiting room chairs and cabinets and set them up again by room number in the new practice premises.

Records sealed

Your team packs patient records in sealed, numbered containers; we transport them separately and with a handover list.

Equipment via the manufacturer

Treatment units and X-ray equipment are dismantled and connected by the manufacturer's service; we drive the packed parts to the new premises.

Liability clearly regulated

We are liable under the German Commercial Code at €620 per cubic metre; for expensive practice technology, look into additional insurance before the date.
AT A GLANCE

Six answers in brief

The most important answers about a practice move fit into six sentences: approval, X-ray, records, lease, closing days and reporting damage. Each question is covered in more detail in the FAQ section below – with the legal provisions on which the answers are based.

01

Approval before the lease

Doctors with statutory health insurance accreditation only relocate their seat with the approval of the admissions committee; clarify this before you firmly rent new premises.
02

X-ray two weeks before

Operation of an X-ray unit at the new location must be notified in writing at least two weeks before it starts, with an inspection report.
03

Records for ten years

Patient records must be kept for ten years after treatment ends; they therefore move with you, complete and listed.
04

Commercial lease ends at quarter

Without any other agreement, you terminate practice premises no later than the third working day of a quarter, effective at the end of the following quarter.
05

Plan closing days

Expect at least one closing day after the move for IT, the card terminal and the acceptance testing of the equipment.
06

Report damage immediately

Report visible damage no later than the day after delivery, hidden damage within 14 days (§ 451f HGB) – with photos.
FOR SMALL LOADS

Only an archive cabinet is moving?

Sending individual pieces of practice furniture
With a shared load, your goods travel together with other consignments on the same route. This lowers the cost for individual cabinets, shelves or chairs that are not needed on the first day in practice. Records and equipment that must be ready for the opening date are better planned in a dedicated transport.

The questions sorted by phase

The questions about a practice move can be assigned to three phases: approvals and lease beforehand, transport on moving day, technology and patient information afterwards. If you are moving home at the same time, our guide to the private move will help. If the new practice is in another city, we plan a long-distance move from Berlin. Typical pitfalls are collected in the article on mistakes in a practice move.

Before: applications and deadlines

Application to the admissions committee, notice period for the old premises, X-ray notification and expert inspection: this order determines moving day, not the other way round. Only once it is in place do we fix the date for your practice move.

On moving day: furniture and records

Records travel sealed and listed, practice furniture labelled by room number, equipment via the manufacturer's service. With furniture transport and assembly according to the room plan, the reception is where it belongs by the evening.

Afterwards: technology and patients

IT service providers set up the practice software and card reader, and the equipment manufacturers put their technology back into operation. A notice on the old door, a recorded phone message and the new address in the legal notice tell patients where to go next.

FAQ

Frequently asked questions about practice moves

Duration, costs, records, equipment, approval and liability – answered briefly.
That depends on the size of the practice, the amount of records and the number of rooms. Smaller practices often move over a weekend, larger ones in several stages over a few days. Also expect at least one closing day for IT, the card terminal and recommissioning the equipment. We set a realistic schedule with you after the survey.

How a practice move works

A practice move begins with a survey of the old and, if possible, the new premises. We record furniture, filing cabinets and boxes and clarify access, floor, lift and any parking restriction zone. We then quote a fixed price. In parallel, you clarify the relocation of your seat with the admissions committee and the dates for dismantling and recommissioning the equipment with the manufacturers.

On moving day we dismantle reception, waiting room and cabinets, transport records in sealed containers and set everything up again according to the room plan. IT service providers and equipment technicians follow. If you take X-rays, you may only start at the new location once the notification with the expert's inspection report has reached the authority at least two weeks beforehand and the authority has not prohibited operation.

Costs and tips for your practice move

The cost of a practice move depends on the number of rooms and cabinets, the amount of records, floor, lift, access and distance. After the survey we quote a fixed price in which dismantling, transport, assembly and any parking restriction zone are listed as items. Work by medical technology and IT companies is billed by them directly.

Savings come above all from good organisation: sort things out before packing, label boxes by room number and let the practice team pack the records itself. Check the notice period for the old premises early – for commercial premises without a different agreement, no later than the third working day of a quarter, effective at the end of the next. And inform patients, labs and suppliers of the new address in good time.

Your move – these costs await you

Whether a small 1-room flat from €349 or a spacious 4-room flat from €1,329 – the costs depend on the scope of your move. A 2-room flat costs from €579, a 3-room flat from €915. For houses and villas we prepare an individual quote, and for long-distance moves we charge from €3.90/km. The fastest way to find out your personal price is a free survey.

Moving price: these aspects play a role

The final price of your move is made up of volume, distance (from €3.90/km), floor, lift and any necessary parking restriction zone. We are happy to extend your move with furniture assembly or a shared load.

Practice relocation to another city

We are based in Berlin (Stromstraße 21) and also plan practice moves over long distances. Destinations with their own pages can be found in the locations overview, routes from Berlin under Long-distance moves. If you change to another accreditation district, you need to clarify your accreditation there anew.
