Office moves: the points beyond the lorry

What to look out for

Unsere Firma Professional on-site moving solutions with secure planning, flexible services and on-time execution.

With an office move, most people think of furniture and boxes first. But costs often arise elsewhere. The removal company's statutory liability is limited to €620 per cubic metre of loading space (§ 451e HGB) – for servers, laboratory equipment or designer furniture this is not always enough, and additional insurance can be agreed on request. If your employees pack themselves, liability for damage caused by inadequate packing may not apply (§ 451d HGB). And files cannot simply end up in a skip: depending on the document, retention periods of six, eight or ten years apply (§ 147 AO).

Then there are points that have nothing to do with transport: with more than 20 employees entitled to vote, relocating the business must be discussed with the works council (§ 111 BetrVG). Lift, loading ramp and parking restriction must be clarified at both addresses. And the old lease often specifies whether fixtures have to be removed. Before giving a fixed price, we survey the premises and go through these points with you. How we organise moving day itself is described under Office move; our locations can be found under Locations.

Clarify risks in advance: a survey for your company

Liability, access and dates in view

Call us on 01625978461. During the survey we record inventory, technology and access, ask about particularly valuable equipment and clarify who packs. You then receive a written fixed price for your office move – with all the services it includes and a note on whether additional insurance makes sense.

Quotes available individually based on workload, scheduling and the desired scope of services.

A CLOSE LOOK

What we look out for at your company

Before the quote, not after

We are based in Berlin (Stromstraße 21) and look at every company before making a quote. We ask specifically about the points that can cost money later: high-value equipment, folders with retention periods, access for the lorry, lift times in the office building and restoration obligations in the old lease. What we take on – dismantling, transport, reassembly and, on request, packing and the parking restriction zone – is then set out in the fixed price. For long distances we plan a dedicated long-distance move.

Liability limit

€620 per cubic metre under § 451e HGB – if your inventory is worth significantly more, it is worth considering additional insurance.

Who packs?

If employees pack themselves, liability for packing damage may not apply; sensitive technology is better packed by us.

Files & deadlines

Sort before the move: what still has to be kept under § 147 AO moves with you, the rest can be destroyed in line with data protection rules.

Access & handover

Clarify lift, ramp and parking restriction at both addresses – and check what the old lease says about restoration.
OVERLOOK NOTHING

Our moving services at a glance

An office move rarely fails because of the carrying – more often because of an overlooked deadline or responsibility. You should clarify these six points before signing the quote – they concern liability, employees and the condition of the old premises.

01

Reliable moving service

Draw up a list of particularly valuable equipment and compare its value with what liability under the HGB covers.
02

Safe handling

Put in writing who packs what – your team or the removal company – and who is responsible for which boxes.
03

Clear communication

Involve the works council in good time if the company normally has more than 20 employees entitled to vote.
04

Structured move planning

Ask the building management at both addresses: reserve the lift, agree loading times and floor protection in the stairwell.
05

Flexible support

Check the old lease to see whether partition walls, cable ducts or carpet have to be removed – that takes time.
06

Report damage immediately

Report visible damage no later than the day after delivery, and hidden damage within 14 days (§ 451f HGB).
FOR SMALL LOADS

What to watch with a shared load

Small move, small price

For an external storage unit or a few workstations, a shared load can be cheaper than a lorry of your own. In that case, make sure boxes are clearly labelled with the company name and destination, and that your schedule can accommodate a time window instead of a fixed day.

Your
move, our craft

Methodical and reliable

An office move often brings further tasks: storing furniture if the new premises are not yet ready, disposing of old furniture or supporting individual employees with their private move if they relocate too. If the new site is in another city, we plan the route as a long-distance move. Tell us about these points during the survey and they will be included in the same quote.

Planning safe and relaxed

A good checklist coordinates dates, helpers and materials early. That way your home move, senior move or student move in Berlin stays transparent, structured and markedly easier to control.

Furniture, boxes, transport routes

With a suitable packing service, careful furniture transport and a flexible small transport, ways can be shortened, damage avoided and even narrow approaches in Berlin managed cleanly in logistical terms.

Costs, timing and special cases

Clear time windows and suitable solutions for an office move, company move, authority move, part load or furniture taxi create reliable processes and better plannable total costs in Berlin.

FAQ

Questions companies ask beforehand

Costs, duration, liability, IT, files, dates and contact persons – answered briefly.
The costs of a company move vary depending on office scope, distance and additional services such as assembly or storage. After a free viewing, we draw up an individual fixed price for you that covers all services transparently. That way you keep full cost control from the start without hidden incidental costs. Simply call us to receive a quote.

Process of a professional company move

A successful company move begins with a detailed on-site viewing, in which we determine scope, particularities and time frame together with you. Afterwards we draw up an individual moving plan that covers disassembly, packing, transport and assembly at the new site. We pay special attention to sensitive areas such as server rooms, file archives and sensitive technology.

On moving day itself, a fixed contact coordinates all processes, so delays are minimised and your operation is able to work again as quickly as possible. After the transport, we support you with the reassembly of the workstations, so your staff can continue working seamlessly. That way a complex operational move becomes a well-structured process.

Costs, liability and what the fixed price covers

The cost of an office move depends on distance, amount of furniture, storeys and the staff required. After the survey you receive a fixed price that covers the agreed services. You should see extra services such as storage, packing service or dismantling technology explicitly in the quote – anything not stated there has not been agreed.

Liability deserves a second look: under the German Commercial Code, the removal company is liable for removal goods up to €620 per cubic metre of loading space (§ 451e HGB). For expensive equipment, additional insurance is available on request. If your employees pack themselves, liability for damage caused by inadequate packing may not apply (§ 451d HGB) – so it should be decided in advance who packs which boxes.

Calculate your move

How to estimate your move yourself:

  • €359 – starting price for a 1-room flat
  • €589 – starting price for a 2-room flat
  • €879 – starting price for a 3-room flat
  • €1,329 – starting price for a 4-room flat
  • individual quote – for a house or villa
  • €4.25/km – for long-distance moves

For a binding quote we recommend a free survey.

How we calculate your moving price

The distance is charged from €4.25/km, while the volume determines the basic time required. Floor and lift affect carrying time, and a parking restriction zone affects loading time. A shared load is also possible and can reduce costs.

When the new site is further away

If the new company headquarters is in another city, there is a longer drive, a parking restriction at both addresses and often an overnight stay for the team. We plan such moves from Berlin (Stromstraße 21) – more under Long-distance moves and in the Locations overview.
