Practice relocation

Practice team or moving company: who does which work in a practice move

The advantages

Unsere Firma is based in Berlin-Moabit (Stromstraße 21) and carries, drives and assembles while your team keeps the practice running.

Many practices consider handling the move with their own team, a few friends and a hire van. For a few boxes, that can work. With reception desks, filing cabinets and heavy waiting room furniture, however, amateurs quickly reach their limits – and every hour your medical assistants spend carrying furniture is missing from running the practice. Another difference is liability: if you hire a moving company, it is liable for damage to the goods under the German Commercial Code.

A moving company does not replace everything, though. The approval to relocate the statutory health insurance practice seat, the X-ray notification and dismantling treatment units lie with you, the admissions committee and the equipment manufacturer. We take care of dismantling, transporting and assembling furniture, records and boxes. You are left with coordinating with authorities and specialist companies, we do the physical work. How we work with businesses is explained under Office move.

Have the effort assessed

Survey, then fixed price – you decide

Whether a moving company is worthwhile for your practice is shown by the survey: we record furniture, filing cabinets and boxes, check access and floor and then quote a fixed price. With this figure you can calmly compare it against doing it yourself – including the hire van, materials and your team's working hours. Enquiries on 01625978461.

What a moving company takes off the practice's hands

And where your team is still needed

We are based in Berlin (Stromstraße 21) and bring a lorry, furniture blankets, straps and tools. In a practice move we dismantle cabinets and reception, secure record containers in the cargo area and set everything up at the new location according to the room plan; we apply for the parking restriction zone outside the door on request. Your team remains responsible for what no outsider can take on: packing records, informing patients, coordinating the technology. We are liable for your household goods under § 451e HGB at €620 per cubic metre.

Carrying instead of the practice team

Movers carry heavy practice furniture with straps and blankets; your team packs records and keeps the practice running.

Liability under the German Commercial Code (HGB)

When you hire a moving company, the statutory liability of €620 per cubic metre applies; with help from friends there is no such arrangement.

Parking restriction outside the door

A lorry needs space outside the building: we apply for the parking restriction zone in good time, so that the carrying distance stays short and your team does not have to walk across the street with boxes.

Assembly by room plan

Cabinets, shelves and desks are set up immediately at the new location by room number – not only in the week after the move.
DIY OR HIRED

What to base your decision on

Whether to do it yourself or hire a moving company depends on just a few points in a practice move. These six questions help with the decision before you fix dates, ask helpers or reserve a hire van.

01

How heavy is the inventory?

Filing cabinets, desks and safe cabinets are risky for amateurs and hard to secure; light boxes and folders, on the other hand, can easily be moved by a practice team itself.
02

Who is liable for damage?

With a moving contract, the company is liable under § 451e HGB; with private helpers, you usually bear damage to the furnishings yourself.
03

What does the downtime cost?

Every extra closing day costs revenue; a well-planned moving day with a moving company can end up cheaper than three days of doing it yourself.
04

Is there a lift and parking?

Without a lift and without a parking space, every metre is hard work; a parking restriction zone outside the building significantly shortens the carrying distance to the lorry.
05

Who coordinates the technology?

Equipment manufacturers and IT service providers need fixed time slots; this coordination stays with the practice management.
06

What stays with the team?

Patient records are best packed by your own team; that way medical confidentiality is preserved, no matter who handles the transport.
FOR SMALL LOADS

Only a few pieces for the new practice?

Ride along instead of your own lorry
With a shared load, your goods share the cargo area with other consignments on the same route. For individual cabinets, chairs or a shelf, this is often cheaper than a dedicated transport, and you do not have to carry anything yourself. For records and anything that must be ready on the first day in practice, we recommend a fixed date.

A GOOD DECISION

Weigh
up, commission, move

Three steps to a decision

This guide compares doing a practice move yourself with hiring a moving company. If you are moving home at the same time, you will find tips under Private move; if the new practice is in another city, we plan a long-distance move from Berlin. An overview of typical mistakes is provided in the article Practice move: avoiding mistakes. Places with their own pages are shown in the Locations overview.

Estimate the effort honestly

Count the cabinets, metres of files and rooms and check the floor and lift. Only then can you say whether a weekend with your own team is enough or whether a practice move with a moving company will cost fewer closing days in the end.

Compare quotes

A good quote lists dismantling, transport, assembly, parking restriction zone and disposal as separate items. Ask who bears the liability and whether additional insurance is available for expensive equipment.

Allocate tasks clearly

The moving company carries and assembles, the manufacturer takes care of the medical technology, and your IT service provider handles the server and card reader. Your team packs records and informs patients – so nobody is waiting for anyone else.

FAQ

Questions about hiring a moving company for your practice

Duration, costs, equipment, records, liability and survey – answered briefly.
With a moving company, a small practice is often moved in one day or over a weekend; larger group practices need several days or stages. Doing it yourself usually takes longer, because there are fewer hands, fewer tools and no well-practised routine. In any case, plan a closing day for technology and IT.

What a moving company takes on in a practice move

It starts with a survey at which we record furniture, filing cabinets and boxes and check access, floor and lift. We then quote a fixed price. On moving day we dismantle reception, waiting room and cabinets, secure everything in the lorry and set it up again at the new location according to the room plan.

What a moving company does not replace: the application to the admissions committee, the X-ray notification and the work on treatment units. This equipment is dismantled and reconnected by the manufacturer's technicians; we transport the packed parts.

Comparing DIY with a moving company

Doing it yourself seems cheaper, but on top of the hire van come materials, catering and above all your team's working time. Then there is the risk: without a moving contract there is no liability under the German Commercial Code, and a damaged desk is at your expense.

The costs of a business-related move are generally business expenses; clarify with your tax adviser how to claim them. For the comparison, a written quote with all items is worthwhile.
