An IT Relocation: What to Look Out For

Checking providers
Six questions before you award the IT relocation
Reading quotes properly
With an IT relocation, a lot is decided as soon as you choose the provider. A reputable quote is drawn up after a survey, not after an estimate over the phone: anyone who has not seen the workstations, racks, printers, stairwell and lift cannot give you a reliable price. Also make sure the quote states who does what – packing and transport on one side, data backup, removal from the rack and commissioning on the other.
Be wary of blanket promises such as “no data loss” or “full cover”: no furniture packer can guarantee your data, and for removal goods the liability under the HGB applies – by law up to €620 per cubic metre of loading space (§ 451e HGB), possibly regulated differently for business customers. So ask for the terms and conditions and, for expensive hardware, about additional insurance. We are based in Berlin (Stromstraße 21) and disclose both to you before you book; routes to other cities can be found under Locations.

With list of services and liability rule
Call us on 01625978461. After the survey you receive a written quote with a fixed price, list of services, time window and liability rule – so you can compare it point by point with other providers, whether a few workstations or an entire floor are moving.
Quotes available individually based on workload, scheduling and the desired scope of services.

What a quote for an IT relocation should contain
Four checkpoints
A good quote for an IT relocation leaves no question open that could cost you dearly on moving day. It states the scope – number of workstations, heavy equipment, floors –, the services included and the date with a time window. It says which tasks remain with your IT department or IT service provider, and it states the liability for the removal goods under the HGB, including a note on reporting damage. If any of these points is missing, ask before you sign. You can read more about our office services under Office move Berlin.

Six warning signs in a quote
Many quotes for an IT relocation sound similar. The differences only show in the small print – these six places are worth a second look before you hire a provider.
Price without a survey
“No data loss”
“Full cover” with no figure
Unclear responsibilities
No time window
Packing left open
Only a few devices?
If only a few workstations are moving to another city, also ask about a shared load: your padded equipment then travels with other jobs on the same route. Check the same points as with your own lorry: liability, time window and who hands over the equipment at collection and delivery.

Your
move – fully organised
How an IT relocation works and what the price depends on is described in our article IT Relocation: Process, Costs & Tips. Desks and cabinets usually move along with the technology; you can find information on this under Company move. If your business is moving to another city, read more under Long-distance moves. For a private change of home there is the Private move.

Questions about choosing a provider
How to compare quotes for an IT relocation
Get at least two quotes and let every provider see the same list: number of workstations, servers or racks, printers and copiers, UPS units, floor and lift at both addresses, and your preferred time window. Only then are the prices comparable. Check whether packing materials, furniture assembly and a parking restriction zone (Halteverbotszone) are included or charged extra.
The second comparison concerns the tasks. A removal company packs, carries and transports; data backup, shutting down, removal from the rack and commissioning belong in the hands of your IT department or IT service provider. If the quote says the provider will also set up the network and servers, ask who exactly does this and how liability works for it.
Liability, insurance and storage media
The removal company is liable for loss of and damage to the removal goods under the German Commercial Code (Handelsgesetzbuch): by law up to €620 per cubic metre of loading space required (§ 451e HGB). With businesses, different amounts may be agreed in the terms and conditions – read this part of the quote carefully. Report visible damage no later than the day after delivery, hidden damage within 14 days (§ 451f HGB).
Your company remains responsible for the data on the devices. Make a complete backup before the move, keep it separate from the transported equipment and, if in doubt, take storage media with sensitive data with you yourself. If you would like a confidentiality agreement, raise it before booking.
Cost overview for your move
Transparency matters to us: a 1-room flat costs from €359, a 2-room flat from €615, a 3-room flat from €889 and a 4-room flat from €1,279. For a house or villa you receive an individual quote, and for long-distance moves the rate is from €3.90/km. Contact us for a free survey.
These factors determine the moving costs
Besides the volume of your furniture and boxes, the distance (from €3.90/km) plays a central role in pricing. Then there are the floor, the lift and whether a parking restriction zone is needed. If you also need furniture assembly or a shared load, you should factor this into the calculation.
