Change of flatmate: finding a successor and handing over the room

When someone leaves
A room becomes free – how to hand it over to the next person
A clean handover
When a flatmate moves out, the shared flat usually needs a successor quickly – otherwise the others end up paying the rent for the empty room. Whether the landlord has to consent to the change depends on the contract. For the move-out, we plan a small private move, matched to the successor's move-in. You will find more about our services under Private move.
After the survey, we give you a fixed price for the move-out – so the person leaving knows what they will pay. We label boxes and furniture clearly so that nothing is confused with what stays in the shared flat. Your belongings are covered by liability under the German Commercial Code (HGB) (§ 451e: €620 per m³), and additional insurance is available on request. On request, we also dismantle and reassemble shelves or beds – in the old room as well as the new one.

Coordinate move-out and move-in on the same day
One room out, one room in
Once the successor is confirmed, we coordinate the move-out and move-in – on the same day if you wish. After the survey, we give you a fixed price for your shared flat. Just call us on 01625978461 to ask for a date.
Offers available individually, depending on effort, scheduling and the scope of services required.

How we support a change of flatmate
Not a single day empty
When flatmates change, timing is everything: the old one should be out before the new one moves in – but not so early that the room stands empty for a month. We coordinate the move-out and move-in, transport only the belongings of the person leaving and leave everything that stays in the shared flat where it is. We give you the fixed price after the survey, and your belongings are covered by liability under the HGB. We are based in Berlin (Stromstraße 21) and drive nationwide; you will find destinations with their own page under Locations.

How a change of flatmate succeeds
A change of flatmate affects everyone: the one who leaves, the one who arrives and those who stay. These six steps lead from the first advert to the handover of the keys – with no empty room and no open bills.
Check the contract
Advertise early
Choose together
Involve the landlord
Hand over the room
Settle the money
Part load for the person moving out
When flatmates change, only one room moves out, often with few belongings because furniture goes to the successor. A part load is then a good fit: the belongings travel with other orders.

From
the advert to the handover of the keys
This instalment of our series is about changing flatmates: who looks for the successor, when does the landlord have to consent, and how are the room, keys and deposit share handed over? According to the Federal Court of Justice (BGH), there is no general right to consent to a change of tenant, but in student shared flats the contract may be interpreted differently. You can read how to propose a replacement tenant in the article Proposing a replacement tenant; for long-distance moves, see Long-distance moves.

Frequently asked questions on changing flatmates in a shared flat
Finding a successor and involving the landlord
When there is a change of flatmate, the shared flat usually looks for the successor itself: an advert on flatshare portals, photos, honest information about the rent and life in the flat, then a get-to-know-you meeting together. Those who stay should have a say, because they will be living with the newcomer afterwards.
Legally, a lot depends on the contract: with a joint tenancy agreement, the landlord has to consent to a change; according to the BGH, the shared flat has no general right to this, but for a student shared flat designed around changing tenants, the contract may be interpreted that way. With subletting, the main tenant needs the landlord's permission (§ 540 BGB). Obtain consent in writing before the newcomer moves in.
Handing over the room, keys and deposit share
On handover day, predecessor and successor inspect the room together and record its condition with photos; the keys are handed over against a signature. Furniture that has been bought over stays in the room, and the person leaving takes everything else.
The successor usually pays the deposit share directly to the predecessor, because the deposit held by the landlord remains in place. Record the amount, the date and any transfer fee in writing – then there will be no misunderstandings even years later. Plan the move of the person leaving so that it is completed before the successor moves in.
