How long does a practice move take?

A smaller practice move can often be completed over a weekend, while larger group practices may need several days. The exact duration depends on the number of rooms, the equipment and the IT infrastructure. We draw up an individual schedule that minimises downtime for your patients and allows a quick start at the new location.

How is medical equipment transported?

Sensitive equipment such as treatment chairs or X-ray technology is usually disconnected and reconnected by the manufacturer's service or a medical technician. We pad, secure and transport the equipment and coordinate the dates with the technicians. For damage we are liable under the German Commercial Code (HGB) (up to €620 per m³); for expensive medical technology we recommend additional insurance .

What happens to the patient files during the move?

Patient files are subject to medical confidentiality and data protection. Ideally, pack them with your practice team into sealed, numbered boxes or leave the filing cabinets locked – we transport them without opening them. The ten-year retention obligation (§ 630f BGB) also applies at the new location. You coordinate digital data with your IT service provider.

Can the practice keep running during the move?

Many of our customers deliberately schedule the practice move for weekends or times when the practice is closed, so as to barely interrupt operations. For larger moves we plan staggered phases so that individual treatment rooms are relocated one after another. This way, care for your patients is largely maintained throughout the entire moving process.

How is my practice equipment protected during the move?

For damage during the transport we are liable under the German Commercial Code (HGB), by law up to €620 per cubic metre of goods (§ 451e HGB). For high-value medical equipment this is usually not enough – for this we recommend additional insurance , which we can also offer on request. What is included is stated in the quote for your practice move .

Which permits do I need for the move?

To park the removal van you usually need a no-parking zone ; in Berlin it is approved by the road traffic authority (Straßenverkehrsbehörde) of the district office, and the signs must be in place at least 72 hours beforehand. We apply for it on request. As a panel doctor you also need the admissions committee's approval to relocate your practice seat.

Do you also dispose of old practice furniture?

Yes, on request we collect discarded practice furniture as part of a house clearance ; for medical equipment with special disposal rules, please check with the manufacturer. The service is then included in the fixed price of your practice move, so the old rooms can be handed over empty.

Can you also move IT systems and network technology?

We dismantle servers, computers and printers, pad them and set them up at the new location. Your IT service provider sets up connections, the network and the practice software – back up the data beforehand. We coordinate the times so that your practice move and the IT work dovetail seamlessly.

How far in advance should a practice move be planned?

We recommend planning a practice move at least six to eight weeks in advance, earlier for larger practices. Panel doctors should submit the application to relocate their practice seat to the admissions committee in good time; on top of that come IT, equipment technicians and informing patients. Short-notice dates are possible depending on our workload.

Do you also handle practice moves over long distances?

Yes, besides moves within the city we also handle long-distance moves for practices moving to another city. We are based in Berlin and plan transport, interim storage on request and reassembly with a fixed time slot. This way even an interregional practice move succeeds without extra effort for you.

What should I bear in mind when moving home at the same time?

Many practice owners move house at the same time as the practice, which is why we can coordinate both moves with each other. We make sure your practice move runs on schedule and the closure stays short. Filing cabinets and boxes with patient records stay locked and are not opened – you have to keep the files for ten years after the end of treatment anyway (§ 630f BGB). Furniture and reception

The price of a practice move depends less on the floor area than on the equipment, access and time slot. These points help you compare quotes and estimate the effort yourself.

Number of treatment rooms

Every treatment room brings cabinets, couches and small items. More rooms mean more staff and time – this is the basis of the calculation.

Heavy equipment

Treatment chairs and medical technology are heavy and delicate. They need specialist dismantling, padding and often more carriers.

Files and archive

Ten years of patient files fill a lot of boxes. The archive can move in advance so that it is not in the way on moving day – a question of planning.

Weekend or weekday

A move at the weekend saves consultation hours but can incur surcharges. Weigh one against the other – cancelled treatments are also costs.

Besides the transport, a practice move has its own formalities: panel doctors (Vertragsärzte) apply to the admissions committee (Zulassungsausschuss) to relocate their practice seat, patients and the laboratory need the new address, and the practice sign and online listings have to move too.
