Practice Move: Process Costs & Tips

Practice relocation
Practice move: from the last patient to reopening
Process & costs
A practice move places special demands, because medical equipment, patient records and practice furniture move together and the practice should only be closed briefly. Many practices therefore schedule the move for a weekend or bridge days: packing on Friday evening, transport on Saturday, setting up on Sunday, with IT and equipment technology following on Monday. This only works if the approvals are in place beforehand – for doctors with statutory health insurance accreditation (Vertragsärzte), the consent of the admissions committee (Zulassungsausschuss) to relocate the practice seat, and for X-ray equipment, notification at the new location.
The costs are spread across several trades: after the survey we quote a fixed price for furniture, records, boxes, dismantling and assembly. Equipment manufacturers, IT service providers and the expert for the X-ray inspection bill separately. Patient records travel in sealed, numbered containers; they must be kept for ten years after treatment ends (§ 630f BGB). A practice's moving costs are generally business expenses – clarify this with your tax adviser.

Moving company, manufacturer, IT: the trades
Clear responsibilities save closing days
With a practice move, several trades share the work: we are based in Berlin-Moabit (Stromstraße 21) and handle the dismantling, transport and assembly of practice furniture, records in sealed containers and labelled boxes according to the room plan. Treatment units, X-ray and laboratory equipment are dismantled and connected by the manufacturer's technicians, and your IT service provider takes care of the IT. We are liable for your household goods under § 451e HGB; for expensive equipment, additional insurance is advisable.

Six steps over the moving weekend
With a practice move, the order on moving day matters: whatever is dismantled first arrives last. These six steps show a typical process from Friday to Monday.
Friday: archive and side rooms
Friday: dismantle equipment
Saturday: transport
Saturday: setting up
Sunday: technology
Monday: first day in practice
Only part of the practice is moving?

Planning,
transport, first day at the practice
Besides the practice move, practice owners often move home as well – we handle that with our private move; if the new practice is in another city, we plan a long-distance move. What the process looks like from the application to moving day is explained in our guide Planning a practice move; what a fixed price covers is explained in the article on fixed prices.

Frequently asked questions about process and costs
How a practice move works over a weekend
A practice move begins with a survey of the old and, if possible, the new premises, at which furniture, filing cabinets, boxes, access and lift are recorded. After that there is a schedule that keeps the closure short – often over a weekend or bridge days. Approvals and notifications must be completed beforehand, otherwise even the fastest move is of no use.
On moving day, furniture is dismantled, records are loaded in sealed containers and boxes are transported according to the room plan. Medical equipment is dismantled and reconnected by the manufacturer's technicians, and the IT service provider takes care of the IT. Once X-ray operation has been inspected and notified, the practice can open at the new location.
Costs by trade: who bills what
The costs of a practice move depend on the size of the practice, distance, floor, lift and the amount of furniture and records. For our part – dismantling, transport, assembly, records and boxes – we quote a fixed price after the survey. Equipment manufacturers, IT service providers and the expert for the X-ray inspection bill for their services themselves; obtain separate quotes for these.
Good preparation saves money: clear out the archive in advance, pack boxes yourself and choose a flexible date. The costs of a business-related move are generally business expenses (§ 4 (4) EStG); your tax adviser will clarify the details.
