A Practice Move: Avoid These Mistakes

Practice relocation
A practice move without standstill: the mistakes that cost weeks
Avoid these mistakes
The most consequential mistake in a practice move is not a scratch on the reception desk but a deadline. If you relocate your practice seat as a doctor with statutory health insurance accreditation, you need the approval of the admissions committee (Zulassungsausschuss) beforehand; it is only granted if reasons relating to statutory healthcare provision do not stand in the way. For an X-ray installation at the new location, operation must be notified to the responsible state authority at least two weeks before it starts – with the inspection report of an officially appointed expert. Both belong at the start of the schedule, not in the last week.
The second typical mistake concerns the patient records: they must be kept for ten years after treatment ends and must neither be left lying around openly nor get lost during the move. Pack them in sealed, numbered containers and keep a list that your practice team signs off at the handover. Medical equipment is best dismantled and reconnected by the manufacturer's technicians; we take care of furniture, records and boxes. How we work with businesses is explained under Office move.

Have your practice move surveyed early
Fixed price after a survey, date to match your closing days
Let us survey the practice as soon as the new lease is signed: we then quote a fixed price for furniture, records and boxes and a date that fits your closing days. Clarify in parallel with the medical technology service how many devices the manufacturer has to dismantle and connect. Enquiries on 01625978461.
Quotes available individually based on workload, scheduling and the desired scope of services.

Four mistakes that cost a practice weeks
And how to catch them early
We are based in Berlin (Stromstraße 21) and take care of the transport in a practice move: dismantling and assembling practice furniture, waiting room and reception, records in sealed containers, labelled boxes according to the room plan. Approvals, notifications to authorities and work on medical equipment lie with you and with specialist companies – but we still go through the order together at the survey. We are liable for your household goods under § 451e HGB at €620 per cubic metre; for expensive equipment, additional insurance is advisable.
Approval too late
X-ray not notified
Records without a list
Liability overestimated
Six more pitfalls
Besides approval, X-ray and records, there are mistakes that only become apparent after the practice move – when patients turn up at the old door or the card terminal is missing. These six can be avoided with little effort.
Lease terminated too late
Patients not informed
Legal notice forgotten
IT moved last
No room plan
Damage reported too late
Only part of the practice is moving?
If only part of the inventory is moving – such as an archive cabinet or the furniture of a therapy room – a shared load can be cheaper than your own lorry. In return you get a time window instead of a fixed date; for the opening day of the new practice, that is too uncertain.

Planning,
transport, first day at the practice
This guide collects the mistakes that cost the most time in a practice move. If you are moving home at the same time, you will find everything about the private move. If the new practice is in another city, we plan a long-distance move from Berlin. Which places have their own pages is shown in the Locations overview.

Questions about mistakes in a practice move
The most common mistakes in a practice move
Many practice owners plan the practice move like a change of flat and start too late. In a practice with statutory health insurance accreditation, however, the admissions committee first decides on relocating the seat; without approval, patients may not be treated at the new location at the expense of the health insurance funds. The old lease can also hold things up: by law, commercial premises can only be terminated at the end of a calendar quarter unless the lease provides otherwise.
On moving day itself, mistakes arise mainly from a lack of organisation: boxes without a room number, records without a list, equipment without a manufacturer appointment. Patient records must be kept for ten years after treatment ends (§ 630f BGB) – so they move with you and need sealed containers. If you go through these points in advance with the moving team and practice staff, you save closing days.
How a practice move works in the right order
An orderly practice move begins with a survey of the old and, if possible, the new premises. We record furniture, filing cabinets and boxes and clarify access, floor and lift; we then quote a fixed price. Treatment chairs, X-ray and laboratory equipment are dismantled and reconnected by the manufacturer's medical technicians – you set these appointments together with us.
On moving day we dismantle reception, waiting room and cabinets, transport records and boxes and set everything up again according to the room plan. IT technicians and equipment manufacturers follow. Once X-ray operation has been notified and the inspection carried out, the practice can open at the new location.
