Planning an Office Move: Step by Step

Planning an office move
Planning an office move: six steps from giving notice to re-registering
Step by step
An office move can be broken down into six steps. Step 1, about three months beforehand: clarify the space you need, sign the new lease and give notice on the old one in time – for commercial premises without any other contractual rule, by the third working day of a quarter to the end of the next (§ 580a BGB). Step 2: obtain quotes. At Beste Umzug Unternehmen this starts with a free survey, after which you receive a fixed price. Step 3, around six weeks beforehand: order the internet connection and apply for the parking restriction zone (Halteverbotszone).
Step 4, about four weeks beforehand: sort out files according to retention periods (§ 147 AO), finalise the room plan and brief employees. Step 5, moving week: make a backup, pack the workstations, then dismantling, transport and reassembly according to plan, at the weekend if you wish. Step 6, around moving day and afterwards: notify the trade office (Gewerbeamt) of the business relocation (§ 14 GewO), change the address in the commercial register, update addresses and report damage in time. If employees are moving house privately too, our private moving service helps; we describe the company side under company moves.

Complete step 2: arrange a survey

Which steps we take on
And which lie with you
Of the six steps, two lie mainly with us: the survey with a fixed price and moving day itself, with dismantling, transport and assembly of the office furniture. On request we also apply for the parking restriction zone. The lease, provider, files, trade office and data backup remain with you – but we tell you by when each point should be done so that the office move stays on schedule. We are liable for goods under the German Commercial Code (§ 451e HGB).

What we do for you
A schedule for an office move only works with a buffer. These six points help you keep to the steps – even if a date shifts.
Plan backwards
Build in a buffer
Share the milestones
Book the moving company firmly
Stagger departments
Plan for follow-up work
A small move on schedule: shared load
If only one department or a small office is moving, a shared load may fit the schedule: furniture and boxes travel on a lorry that is heading your way anyway. Plan for a time window instead of a fixed day, which we agree with you in advance.

Moving
& transport from a single source
Alongside the six steps of the office move, side projects often run in parallel: storing furniture until the new office is ready, moving the server room separately or disposing of old fittings. For companies moving to another city, we plan long-distance moves with their own schedule. If employees move house privately as part of the relocation, their private move can be timed for the same period. That way all the dates fit together.

Questions about planning
Process of a professional office move
A successful office move begins with a detailed stocktaking of all furniture, devices and files. This is followed by the drawing up of an individual moving plan that clearly defines responsibilities, time windows and priorities. Especially important is early communication with all staff, so the transition to the new site succeeds without friction losses.
On moving day itself, our specialists take over the disassembly of the office furniture, the safe transport as well as the swift reassembly on site. In parallel, the IT infrastructure is professionally dismantled, transported and put back into operation at the new site. That way we minimise downtime and ensure a seamless start of operations.
Costs and factors in the office move
The costs of an office move depend on several factors, including the number of workstations, the distance between the old and new site as well as the scope of the technology to be transported. Additional services such as furniture assembly, storage or disposal of old equipment also influence the total price. With our transparent fixed-price model, you receive full cost certainty from the start.
A further cost factor is the timing of the move, since weekend or night dates often spare ongoing business operations. We advise you individually on which choice of date is economically sensible for your company. That way you receive a tailored quote that fits exactly your budget and schedule.

For a long-distance move of the office, extra steps are added: registering the business at the new location, a parking restriction at both addresses and a longer driving time on moving day.
