Planning a Practice Move: Step by Step

Practice relocation
Planning a practice move: seven steps from the application to opening
Step by step
If you are planning a practice move, work backwards from the end. The latest fixed point is the first day of treatment at the new site; before that, technology, transport and all permits must be sorted. For statutory health insurance practices, the first step is the application for relocation to the admissions committee, which only approves it if reasons of statutory medical care do not stand in the way. Straight after that comes notice on the old premises: unless otherwise agreed, commercial premises can be terminated no later than the third working day of a quarter to the end of the next quarter.
Only once the approval and handover date are fixed is it worth planning moving day. If you take X-rays, notify the authority of operation at the new site at least two weeks beforehand, with an expert's inspection report – this date often determines the earliest opening day. We handle the transport of furniture, files and boxes. How we move businesses is described on the office move page.

Fix step five early
Survey, fixed price, a date in your schedule
As soon as the new lease is signed, we can survey the practice. We then give you a fixed price for furniture, files and boxes and reserve the moving day that fits your schedule – between the equipment manufacturer, IT and opening. Call us on 01625978461. The survey is free and non-binding; we hold the date for you as soon as you confirm.
Quotes available individually based on workload, scheduling and the desired scope of services.

The seven steps at a glance
Working back from the first practice day
Step one is the application to the admissions committee, step two notice on the old premises, step three the room plan for the new practice. In step four you agree dates with manufacturers and IT, in step five the practice moves, step six covers technology and the X-ray notification, and step seven patient information. We are based in Berlin (Stromstraße 21) and take on step five; we are liable for your goods under § 451e HGB at €620 per cubic metre. All other steps remain in your hands and those of your specialist firms – we align our date with them.

The seven steps are spread over several months. These six points show what is due in which phase of a practice move, so that no deadline takes you by surprise shortly before the date.

Deadlines,
moving day, opening
This guide divides a practice move into three phases: deadlines and contracts, moving day itself and the opening at the new site. If you are moving home at the same time, you will find tips under private move; if the new practice is in another city, we plan a long-distance move from Berlin. How to organise the move in stages without a long closure is shown in the article Organising a practice move.

Questions about planning a practice move
How a practice move works on moving day
On moving day – step five in the plan – we dismantle reception, waiting room, cabinets and shelving, secure sealed file containers separately in the load space and set everything up again at the new site according to the room plan. The manufacturer's service has made the equipment ready for transport beforehand.
Then comes step six: the IT provider and manufacturers set up their technology, and the expert inspection is available for the X-ray machine. Only then does the practice open.
Building costs into the schedule
The cost of a practice move depends on the number of rooms, filing cabinets, floor, lift, access and distance. After the survey we give you a fixed price. On top of this come invoices from the manufacturer, IT and the expert, which you should budget for separately.
The costs of a business-related move are generally business expenses; clarify the details with your tax adviser.
What does your move really cost?
The moving costs depend heavily on the size of your home. For a one-room flat we start from just €375, while a two-room flat is possible from €584. For a three-room flat the starting price is €899, and a four-room flat is available from €1,324. For a house or villa we prepare an individual quote for you. If you are planning a long-distance move, you pay from €4.10/km. Take advantage of our free survey to get an accurate quote.
What makes a move cheaper or more expensive?
A large volume means more work and therefore higher costs. The distance, which we charge from €4.10/km, as well as the floor and lift also have a noticeable effect on the price. A parking restriction zone ensures things run smoothly, but costs extra. Additional services such as furniture assembly or a shared load can be added at any time.

Practice relocation to another city
We are based in Berlin (Stromstraße 21) and also plan practice moves over long distances. Destinations with their own pages are shown in the locations overview, and routes from Berlin can be found under long-distance moves. If you move to a new licensing district, you will need to sort out your licence there again.
