Office Move: Process Costs & Tips

Process and costs
An office move in four phases: from the site visit to the fresh start
Process and costs
An office move takes place in four phases: survey, moving plan, moving day and reassembly. At Beste Umzug Unternehmen, every company move starts with an on-site appointment at which we record workstations, furniture, equipment, volumes of files, floors and access. From this we draw up a plan that sets out what is dismantled, loaded and reassembled at the new site, and when. How much effort – and therefore how much cost – a move involves is largely decided in this first phase.
The biggest cost drivers are the number of workstations and the volume, long carrying distances up stairs without a lift, the amount of technical equipment and assembly work, and dates outside business hours. Sorting things out beforehand, labelling cables and backing up data saves time on moving day. You receive the price after the survey as a fixed price; we are liable for your goods under the German Commercial Code (HGB). If the business is relocating to another city, we also plan a long-distance move.

What does your office move cost? Fixed price after a survey
Cost drivers clarified in advance
Call us on 01625978461 or use the contact form: we arrange a survey appointment, go through workstations, equipment and access with you and then give you a binding fixed price for your office move. That way you know before booking which items determine the price and where you can save something yourself.
Quotes available individually based on workload, scheduling and the desired scope of services.

What makes the process predictable
Planning on site, price in advance
An office move becomes expensive above all when things have to be improvised on moving day. That is why we clarify in advance which furniture will be dismantled, how many boxes there will be, who will dismantle the IT and whether a parking restriction zone (Halteverbotszone) is needed at the building. We combine the costs in a fixed price after a survey. We are liable for goods under the German Commercial Code (HGB) up to €620 per cubic metre (§ 451e HGB). Our scope of services is listed under company moves; places with their own pages can be found under Locations.

What we do for you
The costs of an office move depend above all on volume, workstations, floors, equipment and the date. During the survey we discuss point by point which of these items carry weight in your case.

Only a few workstations? Consider a shared load
If only a small office or a single department is moving, a shared load can be cheaper: furniture and boxes travel on a lorry that is heading your way anyway. Instead of a fixed day, we agree a time window for this.

Moving
& transport from a single source
An office move differs from a classic private move above all in the process: more people have to be coordinated, equipment and files need their own rules, and every hour of downtime costs money. On top of that come obligations that do not exist for private moves, such as notifying the trade office (Gewerbeamt) of the business relocation (§ 14 GewO). The costs of a business-related move are generally business expenses – so keep the quote and invoice with your other records.

Questions about process and costs
Process of a professional office move
A successful office move begins with a detailed on-site survey, at which we discuss the scope of the move, special requirements and the best schedule. We then draw up a detailed moving plan that covers every step from dismantling and transport to reassembly at the new site.
On moving day itself, our team takes care of the proper packing of office furniture, equipment and documents. After transport, we ensure quick reassembly at the destination so that your company can resume operations promptly.
Costs and saving potential in the office move
The costs of an office move are made up of several factors: the size of the office premises, the number of workstations, the distance between the old and new site, and any additional services such as assembly or storage. After the survey you receive a fixed price that already includes these items. The guide Planning an office move shows how to prepare the move step by step.
To save costs, we recommend planning early and communicating clearly within the company about which items will be taken along, sold or disposed of. Choosing a moving date outside business hours can also help minimise downtime and therefore indirect costs.
What do you pay for your move?
The question of cost is easy to answer: 1-room flats cost from €339, 2-room flats from €579, 3-room flats from €915 and 4-room flats from €1,269. For houses and villas there is an individual quote, and for long-distance moves a price from €3.85/km. The calculation is most accurate after a free survey.
Pricing for the move: the basics
Volume, distance from €3.85/km, floor and lift are the basis of every moving quote. A parking restriction zone (Halteverbotszone) may be needed on top. If you would like to book furniture assembly or a shared load, the scope of services is extended accordingly.
