Moving while you work: trusted person authorisation, keys

Guide for working people · Part 10
Not there, and still moved in smoothly
Standing in on moving day
Not every employer gives you the day off you want, and some appointments cannot be moved. In that case a trusted person can look after moving day for you: family, friends or neighbours who have the keys, answer questions and say where the furniture goes at the new address. Preparation is what matters – a labelled plan of the new flat and a written authorisation (Vollmacht) for the handover of the flat.
Our private move covers dismantling, carrying, transport and assembly, so the person standing in for you does not have to lift anything – they just need to be available. You can still be reached by phone, for example in your lunch break. We give you the fixed price after the survey, so nothing has to be negotiated on moving day. Your belongings are covered under the German Commercial Code (HGB), and additional insurance is available on request.

One contact person on site is enough
Call us on 01625978461 and tell us straight away whether you or a trusted person will be on site on moving day. After the survey you receive a fixed-price quote; we enter the name and phone number of the person standing in for you in the order. It is best to ask about current terms directly on the phone.
Offers available individually, depending on effort, scheduling and the scope of services required.

So that your stand-in stays relaxed
Clear arrangements instead of queries
If you have to work on moving day, what you need above all is clear arrangements. During the survey we agree with you which furniture will be dismantled, what goes into which room and who the contact person on site is. We set the moving date bindingly and give you the fixed price in advance, so the person standing in for you does not have to decide anything that costs money. Your belongings are covered under the HGB. We are based in Berlin-Moabit; destinations with their own page can be found under our locations.

Moving
without being there
The tenth part of our series Moving for working people deals with the case where you cannot get time off on moving day. Who can stand in for you, what authorisation does that person need for the handover of the flat, and what do they need to watch out for when unloading? With keys, a room plan and fixed phone times, the day becomes manageable. For a move to another city, read more under long-distance moves.

Frequently asked questions on stand-ins, authorisation and moving day
Who should be on site on moving day
On moving day, a moving team needs one thing above all: a contact person – someone who unlocks, shows what is coming along and says at the destination where the furniture goes. That does not have to be you. A trusted person from your family or circle of friends is enough, provided they know the plan and have your phone number.
Go through the flat together beforehand, mark what stays, and stick room names on boxes and doors. Our article Moving day hour by hour shows how a typical moving day unfolds.
Authorisation, handover, damage report
For the handover of the flat with the landlord, your stand-in needs a written authorisation. Ask them to record the meter readings and the condition of the rooms with photos. In Berlin, an authorised person can also handle the registration at the registration office (Bürgeramt) – but you have to sign the registration form yourself.
When unloading, the rule is: externally visible damage must be reported by the day after delivery at the latest, hidden damage within 14 days (§ 451f HGB). Your stand-in should therefore look at fragile items straight away.
Costs of a move with a stand-in
Whether you are there or someone stands in for you does not change the price. 4-room flats move from €1,309, 3-room flats from €889, 2-room flats from €584 and 1-room flats from €369. For houses or villas there are tailor-made quotes. For a long-distance move you pay from €4.20/km. Arrange a free survey now.
