Damage & defects
Documenting defects: three reports, three deadlines
Recording it properly
Careful documentation of defects protects you from disputes with your landlord and with the moving company. A scratch on a wardrobe or a dent in a door frame quickly leads to arguments about the deposit or compensation. Deadlines are important here: you must report visible transport damage to the moving company no later than the day after delivery, and hidden damage within 14 days (§ 451f HGB). With photos and a report, you can prove both.
When you move out, the handover report with the landlord is what counts: their claims for compensation for deterioration of the flat become time-barred six months after it is returned (§ 548 BGB). When you move in, the reverse applies: if you take over a flat without reservation despite known defects, you lose rights such as a rent reduction (§ 536b BGB). So record everything in writing, with photos and dates, and keep the documents at least until these deadlines have passed. The sections below show how the three reports fit together.

Fixed price after a survey – and a look at the condition
Liability under § 451e HGB, additional insurance available
During the survey we give you a fixed price and also look at delicate furniture. Point out existing damage and particularly valuable items, so that both are noted before transport and you can decide on additional insurance. Call us on 01625978461 and arrange an appointment.

Landlord and moving company: what goes where
Handover report and damage notification
There are two reports in a move that are often confused: the flat handover report with the landlord and the damage notification to the moving company. For both: dated photos, a written list and ideally two signatures. We are based in Berlin-Moabit (Stromstraße 21); we are liable for damage to your belongings under § 451e HGB at €620 per cubic metre of cargo space, and for valuable items additional insurance makes sense. Whether a local move or one of our long-distance moves – the deadlines for reporting damage are the same.

Six rules for documentation
Recording defects above all means knowing the deadlines. The landlord, the moving company and the new flat each have their own rules – these six points sum them up, from the first photo to the reservation when taking over the flat.

In writing, not verbally
Next day for visible damage
14 days for hidden damage

Shared load: check the condition twice

Moving
out, transport, moving in
A lot about a move depends on good documentation: before moving out you secure the condition of the old flat against claims by the landlord, during transport the condition of your furniture, and when moving in the defects of the new flat. If you back up every stage with photos and a report, you can negotiate calmly later. How we dismantle and reassemble furniture is described under move with assembly; you can find destinations outside Berlin under locations.
Moving out: handover to the landlord
Transport: furniture before and after
Moving in: defects in the new flat

Frequently asked questions about documenting defects
How to document defects properly before the move
Before the first boxes are packed, you should systematically record the current condition of your flat and furniture. Take photos of walls, floors and delicate items, ideally with a timestamp and from several angles. That way, if in doubt, you have clear evidence if damage appears later that was not caused by the move.
You should also note existing scratches or wear on furniture in advance and back them up with photos. A short written report, which you might also show the landlord or the moving company, provides additional certainty. This preparation minimises misunderstandings and ensures the entire move runs transparently.
Recording defects correctly after the move
After the transport, check the condition of the furniture and the new flat together with the moving team. New damage can then be spotted immediately and recorded on the delivery note or in the handover report. The law sets tight deadlines for this: visible damage must be reported to the moving company no later than the day after delivery, and damage not visible from the outside within 14 days; after that the claims lapse (§ 451f HGB).
Use the same method as before the move – photos, short notes and the signatures of both parties – and ask for a copy. The moving company's liability is limited by law to €620 per cubic metre of cargo space (§ 451e HGB); for valuable items additional insurance is worthwhile. That way the process remains traceable and fair.
